This privacy policy will explain how APPA uses the personal data we have collected about you.

The type of personal information we collect 

We currently collect and process only the following information about ex-AXA Provincial employees:

  • Name and address
  • Date of birth and retirement
  • Telephone number (landline and mobile)
  • Email address
  • Membership of Provincial Pension Scheme or Employee Benefit Scheme (if applicable)
  • Spouse/Partner name
  • Spouse/Partner email address
  • Spouse/Partner date of birth
  • Spouse/Partner telephone number (mobile)

No financial information is collected.

How we get the personal information and why we have it

All of the personal information we process is provided to us either directly by you (by email or use of the contact form on the website) or from Capita plc (who administer the AXA UK Group Pension Scheme). This is done for the following reason:

  • Communicating to you (either by email or by post) the details of forthcoming events (eg. Annual General Meeting, Christmas lunch etc.)
  • Making discretionary awards to individuals on notable birthdays and other occasions

We do not share your information with any other organisation or individual.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting our Data Controller and requesting this (details below).
  • We have a legitimate interest

How we store your personal information 

Your information is securely stored and protected by password. We limit access to your personal information to APPA Committee members, Regional representatives and administrators only. In addition, this information cannot be accessed from the website.

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for. In the event of APPA being disbanded, all personal information will be deleted from every database, backup and archive.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances
  • Your right to restrict processing - You have the the right to restrict the processing of your personal information in certain circumstances
  • Your right to object to processing - You have the the right to withdraw your consent to the processing of your personal information in certain circumstances
  • Your right to data portability - You have the the right to request the transfer of your personal information that we have collected to another organization, or directly to you, in certain circumstances

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information. A session cookie is created on accessing the website and this expires on leaving it. No other cookies are used on our website.
